Use the checklist below to help ensure your event goes smoothly!
Event Planning Checklist
Choosing a location in the grass works best for pole tents to be installed, but there are other options for concrete and asphalt installation. Be Sure to let us know what type of ground we will need to install on! An address as well as an exact location will be needed for us to contact OUPS and have all underground utilities accurately marked.
Not only will the tent need to be appropriately sized for your expected amount of guests, but the location of your tent will also need to be large enough to accommodate the tent. Please refer to the tent capacities on our Home Page!
To calculate the required area for your desired tent, add 8 feet to the length and width of the desired tent. (Example: a 20'x30' Tent will require a 28'x30' area.) Also be conscience of overhead obstructions as most of our tents range from 12'-18' tall.
If you are having a difficult time deciding on a tent size send us an email with your event location, table and seating requirements, or event type and we will use google earth and Autocad to layout an event tent to fit your needs
Be Sure to Contact Us 48 Hours in Advance!
It is very important to contact us at least 48 hours before your desired installation. It's not that we can't be flexible, but state law requires us to contact OUPS at least 48 hours in advance to allow the utility companies to mark their underground utilities!
Be sure to let us know if you know of any additional underground utilities that were not professionally installed or recorded!
When you are ready to schedule your event contact us with the date, tent size, and color. We will discuss the installation, tear down and payment details.
Rental Agreement
We will pencil you in, but keep in mind that no dates or tents are reserved until the Tent Rental Agreement is signed and returned. It can be found on the "Rental Agreement" page and will also be emailed to you with your itemized quote!
